Polished is committed to protecting your privacy. In order to provide our services to the customer and to provide the best service possible, we need to collect certain information from you. This Privacy Notice explains when and why we collect personal information about you as well as the types of personal data we may collect when you interact with us in-store, online or over the phone. It also explains how we’ll look after your data and keep it safe. There’s a lot to digest but we want you to be fully informed about your rights, and how Polished uses your data. We’ll let you know of any major changes, but the most up-to-date version will always be here for you to check.

How we collect your personal data

There are a number of ways in which we may collect information about you:

  • When you purchase products in salon or make an appointment
  • When you fill in our client record forms
  • When you visit our website, purchase a gift vouchers or us our contact form
  • When you engage with us on social media
  • When you visit the salon which may have a CCTV system that may record your images in public areas

What data do you hold on me?

Personal information is limited to your name, phone number, address, email address, allergies and medical information you choose to disclose to us on the client record form or online purchases. These details are only known to Polished employees.

How and why we use your personal data

When you engage with us, we want to give you the best possible experience. By collecting data about you, it allows us to offer a great and tailored service. For example we ask you for your contact details so we can give you appointment reminders and general information about your treatments/services. We also need to be able to contact you in case of an emergency, i.e. power cuts, flooding, snow closure or staff sickness relating to your appointment. If you purchase a gift voucher online your details will be stored so the voucher spend can be tracked and is there on record in case the voucher is misplaced or forgotten on the day of the appointment.

Will you share my data?

Personal information provided is stored for our own records. We never give or sell our customers details to third-parties. Payment for gift vouchers online is processed by PayPal – we have to send them your address and email address in order to process the gift voucher order.

Will you send me marketing emails?

We ask for your email address as sometimes it is more convenient for clients to contact us via email, plus around 6 times a year we send out emails giving you information or to tell you about offers we have on. i.e 20% off pedicures. We never sell or pass on your information to other businesses who don’t offer a treatment or service at Polished. If you would like to unsubscribe at any point please let us know or follow the ‘unsubscribe’ link at the bottom of all of our marketing emails.

Where do we keep your data?

All information that you supply us with is stored on secured servers provided by our salon software company or in locked files, voucher orders are stored on a web server. We will take all reasonable steps necessary to make sure that your data is treated securely in line with this privacy statement.

Why do you need medical information?

As part of the services the salon provides we will sometimes need to ask you medical questions before we can complete a treatment or service. We need to know this information for your safety and so you can get the most out of the service we are providing. For example, massages, we would need to know about any recent operations or back condition, if you are having a pedicure we need to know if your diabetic or any allergies to hair colour or any other ingredients in products we may use on you. Believe it on not even your skin type is a medical piece of information and vital information if performing a facial.

How long will we keep your details?

We anonymize client’s information if we haven’t had any contact or treatment with polished for 3 years. If you are moving away or would like us to anonymize your information prior to this then please let us know and this can easily be done for you.

This privacy statement is part of our Terms and Conditions. We may need to update this privacy statement from time to time. You should regularly check this page to make sure you have read the most recent version.

I don’t want you to keep my data anymore

If you choose not to share your personal data with us, or refuse certain contact permissions, we might not be able to provide some services you’ve asked for. Some data is a legal requirement to perform a treatment and is for your own health and safety. We give you a few options to opt out of marketing emails or text reminders.
